When to Plan Your Reunion?
The earlier, the better! Every memorable occasion begins with a well-thought-out plan. Experts say you should start your family reunion planning 6-12 months in advance. Make a few phone calls to relatives you think might help, gauge interest, discuss the timing and possible locations, and enlist the people you know you can count on. This is your reunion too, so don't try to do it all by yourself.
What Do We Do First?
Once you've gathered your helpers, brainstorm themes for your family reunion, such as family history, a special event such as the grandparents' anniversary, or a holiday like Thanksgiving or Spring Break. How about a sports theme, a talent show, or food theme, which can add to the fun and help in planning decorations, food, and unique local activities suitable for all ages.
Send Emails to Family
Create an invitation list with updated emails and phone numbers. In your initial email, request feedback on different reunion themes, dates, and venues, taking into account participants' budgets and providing estimated expenses, not including personal travel. For larger groups, utilize a free online survey tool like Survey Monkey, and specify a deadline for responses.
Send Official Invitations
After the deadline, tally responses. It's unlikely to find a date that suits everyone, so choose the one that pleases the most people. Then, pick a location and venue, and send an official invitation so everyone can finalize travel plans. In the same invitation, ask for volunteers to help with the theme, food, decorations, T-shirts, games, and more. Get firm commitments, and follow up for RSVPs.
Set Up a Reunion Facebook Group
Set up a private Facebook group to share plans, ask for volunteers, and post pictures before and after the reunion. Have one person manage updates and build excitement! Pick a cover photo that reflects the theme. Invite family members to join and post the official invitation, photos, and schedules to boost participation. Encourage feedback and create an album where everyone can share their reunion photos and videos after the event.
Choose a Venue & Location
Jubilee Suites Boutique B&B offers a beautiful venue directly on Mobile Bay, perfect for your family reunion. We can sleep up to 28 adults and 8 children in our 9 light-filled suites. Enjoy your included breakfast, the spacious grounds, beach, courtyard, patios, balconies and our firepit for gathering. We offer free use of our kayaks and paddleboards. Four of our suites are dog-friendly.
Meals for a crowd
Of course, our made-to order breakfast is included each day with your stay and there are many ways to plan the other meals for your family reunion. Seven of our 9 suites have full kitchens, and the other two have kitchenettes with refrigerators, microwaves, and coffee service. We can stock refrigerators upon request, and charcoal grills are available for outdoor cooking. You can cook together or hire caterers—we have preferred vendors to recommend. The choice is yours!
